The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. You will be responsible for efficiently managing a variety of administrative tasks for G3 Electrical, including scheduling client meetings, facilitating interdepartmental communication, and overseeing records control, while ensuring professionalism and timeliness.

 

Duties

  • Greet and welcome visitors in a professional and friendly manner
  • Answer and direct phone calls, take messages, and provide information to callers
  • Schedule appointments and maintain appointment calendars
  • Perform general clerical duties, such as photocopying, faxing, filing, and scanning documents
  • Coordinate and maintain office supplies and inventory
  • Assist with project coordination and follow-up tasks
  • Perform data entry and order entry tasks as needed

Requirements

  • Proven experience as a receptionist or administrative assistant
  • Excellent customer service skills with a friendly and professional demeanor
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong communication skills, both written and verbal
  • Locates and compiles information; formats reports, graphs, tables, records and other sources of information
  • Assembles and categorizes facts and figures for written computation and calculations
  • Assists with special events planning
  • Operates personal computer to access e-mail, electronic calendars, and other basic office support software
  • Uses various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and/or format data and/or reports
  • Exercises administrative judgment and assumes responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
  • Ability to maintain confidentiality of sensitive information
  • Attention to detail and accuracy in all work tasks
  • Ability to work independently with minimal supervision

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • High School Diploma or GED (One year of college or equivalent work experience preferred)
  • One year of related experience or relevant coursework
  • Able to exchange non-routine information using tact and persuasion as appropriate
  • Good oral and written communication skills
  • Having a notary certification is an advantage
